How to format a bank CSV for QuickBooks or Xero
Drop your bank's CSV
Use the CSV export from online banking, or paste the rows. Bank summary lines above the header are skipped.
Confirm the columns
Date, Description and either one Amount column or separate Debit and Credit columns are detected from the headers. Change any mapping that is wrong, and flip signs for credit card exports where purchases are positive.
Pick the target layout and date format
Choose QuickBooks Online 3 columns (Date, Description, Amount), QuickBooks Online 4 columns (Date, Description, Credit, Debit) or Xero (Date, Amount, Payee, Description, Reference), then the date format your company file uses.
Download and import
Download the CSV and upload it in your accounting software. Files over 1,000 rows are split into parts for QuickBooks Online.
QuickBooks Online CSV import format
QuickBooks Online's bank file upload accepts a CSV in one of two shapes: three columns (Date, Description, Amount) with money out as negative amounts, or four columns (Date, Description, Credit, Debit) with the unused side left blank. Dates must use one consistent format, and amounts must be plain numbers without currency symbols.
QuickBooks' own help article also limits a CSV upload to about 1,000 rows and 350 KB, so this tool splits longer exports into parts. QuickBooks Desktop does not import bank CSVs this way; it uses Web Connect (.qbo) files, which this tool does not create.
Xero bank statement CSV template
Xero's statement import needs at least a Date and an Amount, with money in positive and money out negative in one column. This tool writes Date, Amount, Payee, Description and Reference — the same layout as BankSheet's Xero export preset — and leaves Payee and Reference blank for you to fill in Xero or map on import.
Common bank CSV problems this fixes
Most rejected imports come from a handful of formatting issues:
- Mixed or ambiguous dates (03/04/2026) — day-first or month-first is detected across the whole file, then written in the format you pick.
- Separate Debit and Credit columns when QuickBooks wants one signed Amount, or the reverse.
- Currency symbols, thousands separators, brackets for negatives and CR/DR suffixes.
- Bank summary lines and blank rows above the real header.
- Credit card exports where purchases are positive — use Flip signs.
Frequently asked questions
What CSV format does QuickBooks Online accept for bank transactions?
Either three columns — Date, Description, Amount, with money out negative — or four columns — Date, Description, Credit, Debit, with the unused side blank. Use one date format throughout and plain numbers without currency symbols.
What is the Xero CSV import template for bank statements?
Xero requires Date and Amount, with money in positive and money out negative. This tool writes Date, Amount, Payee, Description and Reference, which matches the columns of BankSheet's Xero export preset.
Does this create a .QBO or Web Connect file?
No. It writes CSV files for QuickBooks Online's and Xero's CSV import. It does not create .QBO, OFX or QFX files and does not connect to QuickBooks or Xero.
Why does QuickBooks reject my bank CSV?
The usual causes are dates in more than one format, currency symbols or text in amount columns, both a Credit and a Debit value on the same row, extra header lines from the bank, or more than about 1,000 rows in one file. Run the export through this tool and import the cleaned file.
Can I convert a PDF bank statement for QuickBooks?
This free tool reads CSV. For a text-based PDF statement, BankSheet (getbanksheet.com) extracts the transactions, checks opening to closing, and exports the same QuickBooks or Xero CSV columns. The first 10 pages are free.
Do you see or store my bank data?
No. The file is read by JavaScript in this page and the result is built on your device. Nothing from the file is sent to a server. We only record that the tool was used, with a rough row-count range and the outcome (for example pass or fail), never dates, descriptions, amounts, or balances.
